What information we collect about you
- When you contact us for course information, we receive your email address and name
- When you make a booking for a course, you complete an application form and freely give us your name, address, email address, phone number, date of birth and nationality
- When you start your course at ECS Scotland, we open a client record which contains information about your level of English, which classes you booked, class attendance and any other relevant information for us to effectively provide the service you have booked
- If you book homestay accommodation to be arranged by ECS Scotland, we collect information about any medical conditions or dietary information which is relevant and essential information for the host
How we will use your information
We may use information held about you in the following ways:
- To contact you with the information you have specifically requested
- To complete the booking of your English course
- To inform our teachers of any specific requests
- To inform homestay accommodation providers of guest profile
- To notify you about changes to our service or your booking
- To send you our newsletters or provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes. Maximum 4 times per year
How long we will keep your data and why
- For course information requests, email address, name and initial enquiry will remain on our system for 12 months. This enables us to follow up an enquiry
- For clients who have booked a course and studied at ECS Scotland, the client record is kept for 10 years. This enables us to identify returning clients and keep track of their previous booking requests, English level and course information. Client records are also kept to meet the requirements of accreditation bodies such as the British Council and to fulfil statistics for organisations such as English UK
Distribution of Information
- Essential information (name, age, nationality, medical conditions or dietary requirements) may be shared with homestay accommodation providers, if applicable
- Non-identifiable information such as nationality, length of study and course choice may be shared with study organisations such as English UK
- Client records may be shared with the British Council Accreditation Scheme inspectors or with government agencies when assisting an investigation
- No information will be provided to any third parties for marketing purposes
Access to your information and correction
- You may ask us to remove or amend information you think is inaccurate
- You may contact us to delete all information we hold about you
- You may withdraw consent for use of your personal data at any time
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, clearly state the information you require in an email to: [email protected] To protect your information, we will ask you to verify your identity before processing any request you make
